Notes & Time Tracking
The Notes tab on each claim is your running diary of everything that happens — phone calls, inspections, emails, research. Every note includes a timestamp, your name, and optional time tracking so you can bill accurately.
Adding a note
Open a claim and go to the Notes tab. Type your note in the text field and click Add Note. Notes are timestamped automatically with your name as the author.
Time tracking
Each note has an optional Hours field. Enter the time you spent on the activity described in the note (e.g., 1.5 for an hour and a half). These hours accumulate on the claim and appear on time sheets and reports.
The claim detail page shows a running total of hours logged. Use this to track your time against the carrier's authorized hours, or for internal billing.
Expense tracking
The Expenses section (also on the claim detail page) tracks out-of-pocket costs:
- Mileage — enter miles driven; the app calculates the amount at the IRS rate
- Fuel — gas receipts
- Lodging — hotel stays for out-of-town inspections
- Meals — per diem or receipt-based
- Equipment — rental tools, supplies
- Other — any expense that doesn't fit the above
Time sheets
Click Time Sheet on any claim to generate a printable summary of all notes (with hours) and expenses. This is useful for submitting fee invoices to carriers or documenting your time internally.
Voice memos
If you're in the field and can't type, use the voice memo feature to record a note verbally. The recording is saved as a file on the claim and linked to the note entry with its duration displayed.
